 Office Manager

St. Peters, MO (new office location)
Monday – Friday, 9am – 5pm

Job Purpose:

The office manager position is responsible for overall front office activities, including doctor and therapist scheduling, administrative staff scheduling and workflow, check in/check out and reception area, and smooth patient flow. Also responsible for directing and coordinating office services and related activities, including developing and supervising processes for maximum utilization of services and employee hours. Responsible for hiring and training of departmental staff.

Requirements and Qualifications. Qualified candidates must possess the following:

  • Minimum of two years of experience as medical/psychiatric office manager
  • Proven ability to run and manage fast-paced office processes and work flows with focus and results
  • Knowledge of HIPAA rules and regulations
  • Multi-tasker with ability to consistently maintain positive attitude, and good client relationships
  • Exceptional time- and employee management skills
  • Computer and Microsoft Suite proficiency
  • Organized, detail- and results-oriented
  • Outstanding verbal and written communication skills
  • Dynamic personality and strong leadership skills
  • Excellent customer service, and motivational skills
  • Self-motivated and self-initiated.

 

Job Duties and Responsibilities

  • Direct, oversee, and manage daily operations of a fast-paced front office
  • Uphold and enforce company policies and procedures and implement new processes
  • Participate in ongoing improvement of operations to improve efficiency of office and work flows
  • Set departmental goals and create plans of action for employees to achieve
  • Work with HR to resolve employee issues and complaints independently
  • Help foster a positive working environment for all employees
  • Maintain an efficient, organized work space that encourages productivity and discourages distraction
  • Complete daily operational tasks in a timely manner – meet departmental operational and budget goals and deadlines
  • Perform general office duties as needed (sending/answering emails, phone calls, filing/electronically inputting forms, etc.)
  • Hold and document departmental meetings
  • Train new hires in company processes and procedures
