A patient can access the telehealth appointment in one of three ways from a link provided in the telehealth invitation email sent by [email protected].

From a link their provider can send via text or email, or from their patient portal account. I will be discussing the workflow as it pertains

to the link within the telehealth invitation email. An email with a link will be sent to the patient’s email on file

before the scheduled appointment time. It is best practice to locate the telehealth link within the email and set up at least 15 minutes

prior to the appointment time. If there are any issues, a patient can contact the front office for support.

To begin the process, click the link in the confirmation email that says “Join the appointment.” A browser window will open

where the patient will enter only their last name and date of birth. Once entered, select confirm. The patient will then be in the

provider’s virtual waiting room. It is best practice to download Zoom Workplace to your device to ensure an optimal connection to the telehealth appointment.

However, you can still join the session using Zoom through your preferred browser. The Join Call button will be grayed out

until the provider begins the call. Once the provider starts the call, the Join Call button will become green

and allow you to select it. If a patient does not wish to install Zoom Workplace on their device, they will be able

to launch the meeting in their browser. Select Launch Meeting, scroll to the bottom of the window, and select Join from your browser.

The Join from your browser option will only be available after selecting Launch Meeting. A window will open where the patient will enter their name

and confirm that their audio and video settings are working correctly. If prompted, allow your browser to access your microphone and camera.

After entering your name, select Join. The provider will be notified that you are waiting to join the session.

Once the provider admits the patient, the telehealth session will begin. To exit the appointment, select Leave in the bottom right corner.

This will complete the telehealth appointment. Rather than relying on a browser, patients can download Zoom Workplace to their device

for an optimal connection. Starting in the waiting room, select the Download Zoom link.

You will be redirected to Zoom’s website, where an automatic download will begin. This may look slightly different depending on the

operating system or browser being used. Select Open File to begin installation. The Zoom Workplace installer window will open.

Select Continue and follow the prompts to complete installation. During installation, allow the installer to access files as requested.

Once Zoom is installed, return to the browser. With the waiting room open, select Join Call to continue. The Zoom Workplace application will open

and prompt the patient to enter their name. Select Join to continue. A window will appear to confirm video settings are working correctly.

Once confirmed, select Join to open the call window. The provider will be notified that you are waiting to be admitted.

Once admitted, the telehealth appointment will begin. To end the session, select Leave in the bottom right corner.
